2. Information we collect
Purchase and delivery information
When you purchase through Waffo Pancake, we may receive your email address, order and payment identifiers, product and price, currency, payment status, purchase mode, and transaction timestamps. We do not receive or store your full payment card number.
Gift content
When a Gift Pass is redeemed and a gift is created, we collect the recipient and sender names, relationship, event date, messages, letters, reasons, surprise text, selected occasion and template, optional music link, uploaded photos and supported media, and the published gift address. Gift content may contain personal information about the purchaser, creator, recipient, or other people shown or named in the gift.
Service and support data
We collect Gift Pass status, redemption and publishing timestamps, basic gift interaction events such as views or openings, and support communications. Our hosting and security providers may also process technical information such as IP address, browser or device details, request timestamps, and diagnostic logs to deliver and protect the service.
3. How we use information
- to confirm payment and deliver or recover a unique Gift Pass;
- to redeem codes and create, publish, host, and display gifts;
- to provide customer support and resolve technical or payment issues;
- to prevent fraud, abuse, duplicate fulfillment, and security incidents;
- to maintain service performance and diagnose errors; and
- to comply with accounting, tax, legal, and regulatory obligations.
Depending on the context and applicable law, we rely on performance of a contract, our legitimate interests in operating and securing the service, consent for optional submissions, and compliance with legal obligations.
4. Payments and Waffo Pancake
Payments are processed by Waffo Pancake as merchant of record. Waffo Pancake collects and processes checkout, billing, tax, fraud-prevention, and payment information under its own terms and privacy notice. Memory Vault receives only the information needed to verify the completed order and deliver the purchased service. Full card data is not stored on Memory Vault servers.
5. How we share information
We do not sell personal information. We share information only as needed with:
- Waffo Pancake for checkout, merchant-of-record services, payment processing, tax, receipts, refunds, fraud prevention, and disputes;
- cloud hosting, database, and storage providers that run the website, store gift records and media, and deliver published gifts;
- professional advisers and authorities when reasonably necessary to comply with law, enforce rights, investigate abuse, or protect people and systems; and
- a successor organization in a merger, financing, acquisition, or sale, subject to appropriate confidentiality and notice requirements.
A published gift is visible to anyone who has its link or QR code. The gift creator controls whom they share it with.
6. Cookies and local storage
Memory Vault currently does not use advertising cookies or cross-site behavioral advertising. We may use strictly necessary browser storage, session values, or similar technologies to remember a redemption or editing session, complete a checkout return, protect forms, and keep the service working. Our payment and infrastructure providers may set their own necessary cookies under their policies.
7. Public gifts and choices
Published gifts use hard-to-guess public URLs; they are not private accounts. Do not upload sensitive content or share a gift link with people who should not see it. Keep original copies of uploaded files. If you need help removing a published gift, contact us with enough information to identify it and verify your relationship to the purchase.
8. Retention
Published gift content is normally retained for the hosting period included with the purchased plan: 3 months for Classic, 1 year for Signature, and 3 years for Cinematic. We may delete or anonymize gift content within 30 days after that period ends, unless a longer period is needed to resolve a dispute or meet a legal obligation.
Order, payment, refund, and accounting records may be kept for up to 7 years or longer where required by law. Support records are generally kept for up to 2 years after a case closes, and security or diagnostic logs are generally kept for up to 12 months. Backup copies may persist briefly until safely overwritten.
9. Security
We use reasonable administrative, technical, and organizational safeguards, including access controls, encrypted connections, restricted database access, code hashing, and payment-signature verification. No online service can guarantee absolute security. Protect your Gift Pass, order details, editing session, and published link from unauthorized access.
10. International transfers
Memory Vault serves customers online and uses service providers in multiple countries. Information may therefore be processed outside your country. Where required, we use contractual and technical safeguards intended to protect transferred information in accordance with applicable law.
11. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information, and to withdraw consent where processing relies on consent. You may also have the right to complain to a local data-protection authority.
Send requests to byst001999@outlook.com. We may ask for information necessary to verify your identity and protect the gift or order. We will respond within the period required by applicable law.
12. Children
The purchasing and gift-creation service is intended for adults aged 18 or older. A gift may be made for a child only by an adult who has authority to provide the submitted information and media. We do not knowingly solicit purchases or independent content submissions from children.
13. Third-party links
Gifts may contain music or other links selected by the creator. We are not responsible for the privacy practices or content of third-party websites. Review their policies before providing information to them.
14. Changes to this policy
We may update this policy as the service or legal requirements change. We will publish the revised policy here and update the date above. If a change materially affects how existing gift content is used, we will provide additional notice where reasonably practicable or legally required.
